Privacy Policy

This Privacy Policy explains how PopUpSync collects and uses information for our cloud-hosted event vendor compliance management platform.

What data we collect

We collect the information needed to operate PopUpSync, including name, email address, company name, billing information processed through Stripe, product usage and event data, and vendor documents or event records uploaded by users. Vendor and event data may include credential records, insurance certificates, permits, W-9s, licenses, contracts, scheduling details, compliance status, AI verification outputs, and related notes provided by customers or invited vendors.

How we use it

We use this information to provide and maintain the PopUpSync service, manage customer accounts, coordinate vendor compliance workflows, send transactional emails, provide support, secure the platform, analyze usage, and improve the product experience.

Third-party services and data sharing

We do not sell personal data. We share data only with service providers that help us run PopUpSync and process information on our behalf for the purposes described in this policy.

Stripe processes subscription, checkout, billing, and payment-related data.
AWS S3 stores vendor documents and related uploaded files.
OpenAI's API processes submitted documents to support AI-assisted verification and compliance summaries.
Resend and email infrastructure providers send account, invite, reminder, billing, and support emails.
Hosting, database, analytics, and security providers support application infrastructure, product analytics, and reliability.

Users should review OpenAI's data usage policies to understand how OpenAI handles API data. PopUpSync does not permit vendor documents or customer data to be used for unrelated advertising or resale.

Data retention

We retain account, event, and vendor data while an account is active and as needed to provide the service, comply with legal obligations, resolve disputes, enforce agreements, preserve security logs, and maintain billing records.

When a client archives a completed event, PopUpSync retains the archived event record and related vendor contact information for two (2) years from the archive date. Vendor documents and uploaded files associated with that event are permanently deleted at the moment of archive and cannot be recovered, including if the event is later unarchived.

Clients may unarchive an event at any time before the two-year mark. After two (2) years from the archive date, the archived event and related vendor contact records are permanently and automatically deleted from the system. Upon account cancellation and request, customer account data and vendor documents will be deleted within 30 days unless retention is required by law, billing obligations, security needs, backups, or legitimate business records.

User rights

Users may request access to, export of, correction of, or deletion of personal data associated with their account, including vendor document data where they have the authority to make that request. California residents may have additional rights under the California Consumer Privacy Act (CCPA), including rights to know, delete, correct, and opt out of certain data sharing practices where applicable.

Cookies

PopUpSync uses cookies and similar technologies for session management, authentication, security, preferences, analytics, and service performance. Browser settings may allow users to restrict cookies, but some service features may not work correctly without them.

Children

PopUpSync is designed for business use and is not intended for children under 13. We do not knowingly collect personal data from children under 13. If we learn that such data has been collected, we will take reasonable steps to delete it.
